Scope
Nine-company deadlines, caps, no-shows and early-return refunds
Cost basis
Published direct-booking rules and clearly separated Japanese domestic and foreign-licence calculation examples

Cancellation fees in Japan depend on how many days remain before pickup, where you booked, and the company and vehicle class. This guide compares Toyota, Nippon, Times, Orix, Nissan, JR Eki, Sky, Nico Nico and Guts, using their October 2026 guidance with selected terms rechecked on 1 November 2026.

Cancellation fees at nine rental companies

The table covers the companies' published direct-booking rules. Percentages apply to the basic rental charge unless stated otherwise. A travel agency, overseas booking channel, package or special offer can have different conditions; use the cancellation terms attached to your reservation.

Company Free cancellation deadline Cancellation charge Maximum
Toyota Rent a Car At least 7 days before pickup 6–3 days: 20%; 2–1 days: 30%; pickup day or later: 50% Passenger cars, vans and trucks: ¥13,000; SUVs: ¥17,000; wagons: ¥20,000; buses: ¥40,000
Nippon Rent-A-Car At least 7 days before pickup; cancellation on the day the reservation was made is also free 6–3 days: 20%; 2–1 days: 30%; pickup day: 50% ¥6,000; separate rules for microbuses
Times Car Rental Eligible Times Club bookings: at least 24 hours before pickup. Non-members: at least 7 days before Members after the deadline: ¥1,100, or ¥550 for Pit-to-Go bookings. Non-members: 6–3 days 20%, 2–1 days 30%, pickup day 50% Non-members: ¥6,600; microbuses: ¥13,200
Orix Rent a Car At least 7 days before pickup for passenger and commercial vehicles 6–3 days: 20%; 2–1 days: 30%; pickup day: 50% Japanese guidance: ¥13,200; English payment guide: ¥6,600. Confirm the applicable terms with your booking provider
Nissan Rent a Car At least 7 days before pickup 6–3 days: 20%; 2–1 days: 30%; pickup day or later: 50% ¥6,600
JR Eki Rent-a-Car At least 7 days before pickup 6–3 days: 20%; 2–1 days: 30%; pickup day: 50%, calculated on the planned rental charge ¥6,600
Sky Rent a Car At least 7 days before pickup 6–3 days: 20%; 2–1 days: 30%; pickup day or later: 50% ¥6,600
Nico Nico Rent a Car At least 7 days before pickup 6–3 days: 20%; 2–1 days: 30%; pickup day: 50%. No contact one hour after pickup time: 100% K, S and T1: ¥6,600; G, SUV and T2: ¥8,800; F1, F2, T3 and V: ¥11,100
Guts Rent a Car At least 3 days before pickup 2–1 days: 30%; pickup day: 50%; cancellation without contact: 100% —

The same percentage can produce different bills because the caps differ: Nippon's ordinary cancellation cap is ¥6,000, while Toyota's wagon cap is ¥20,000. Times' member deadline is an exact 24 hours before the booked pickup time. It applies to Times Club members booking through the official website, a branch or by telephone; it is not an automatic benefit of an overseas or agency booking. Guts' free period ends three days before pickup.

Orix's English and Japanese pages currently display different caps; neither figure should be substituted for the terms in your confirmation. Its Japanese microbus rules also differ from the passenger-car row: free through 10 days before pickup, 20% at 9–3 days, 30% at 2–1 days and 50% on pickup day, capped at ¥26,400. A dash in the table means that this comparison does not establish a cap, rather than that no cap exists.

Example dates and amounts

For an October 10 pickup and a 48-hour compact-car rental, the following example uses the Japanese domestic standard basic charges recorded for this comparison, before discounts: Toyota C1 at ¥15,840 (¥8,580 + ¥7,260), and Nippon N-B at ¥16,060 (¥8,910 + ¥7,150). These are calculation examples, not quotes for a foreign-licence booking.

Cancellation date Days before pickup Toyota example Nippon example
October 3 or earlier 7 or more Free Free
October 4–7 6–3 ¥3,168: 20% ¥3,212: 20%
October 8–9 2–1 ¥4,752: 30% ¥4,818: 30%
October 10 Pickup day ¥7,920: 50% ¥6,000: capped

Toyota's separately published C1 rate for foreign-licence customers is ¥10,340 for the first 24 hours and ¥8,690 for each additional 24 hours: ¥19,030 for the same 48-hour period. At that basic charge, the corresponding 20%, 30% and 50% examples are ¥3,806, ¥5,709 and ¥9,515, all below its passenger-car cancellation cap. Use the actual basic charge on your own reservation, including the applicable season and booking plan.

Even with identical percentages, reaching the cap changes the amount payable. Check which parts of the bill form the calculation base; if protection or extras are bundled into your price, ask the booking provider for a breakdown.

How to cancel a reservation

  1. Find the booking reference and original booking channel in your confirmation: the rental company's website, a branch, an agency or another booking site.
  2. Cancel through that channel. For Toyota, Nippon, Times and Sky reservations made through another site or travel agency, follow that provider's amendment and cancellation process.
  3. Keep the cancellation number or completion email. A telephone enquiry alone does not prove that a cancellation was accepted.

For Sky's Japanese pay-at-pickup reservations, cancellation from six days before departure requires a call or email to the reservation centre rather than My Page. Prepaid online bookings can be cancelled online before the scheduled pickup time, with any applicable fee. Guts' online-paid reservations can be cancelled on the web through three days before pickup. Nico Nico explains app and web cancellation through seven days before pickup; contact the reservation centre or branch for a nearer departure if the online process is unavailable.

Toyota's English booking service allows online cancellation up to one hour before pickup; nearer the time, contact the reservation centre or branch. Orix's English online-payment guide also gives a one-hour cutoff, except for special offers, with branch contact if online cancellation cannot be completed.

Changing an existing booking

Before changing the dates or branch, check whether the provider can amend the reservation or requires cancellation and a new booking.

  • Nico Nico accepts date changes during the cancellation-fee period without charging a cancellation fee at that point, but a later cancellation of the amended reservation can incur one. Changes are by telephone, limited to two; a pickup-branch change requires cancellation and rebooking.
  • Sky asks customers to make the replacement reservation and cancel the original. If that process triggers a cancellation charge, contact the reservation centre to arrange its refund.
  • Orix's English online-paid bookings cannot be amended. Cancellation and rebooking are required, and the cancellation charge can apply.

Check the replacement vehicle's availability and price before cancelling the original. The same car or rate may no longer be available.

Late arrival, missed pickup and early return

One hour late without contacting the branch

Toyota, Nippon, Times, Orix, Nissan, Sky, Nico Nico and Guts have rules allowing an uncollected booking to be treated as cancelled around one hour after the reserved pickup time. The precise condition can be failure to contact the branch or failure to begin the rental procedure. Nico Nico and Guts specify a 100% basic-charge rate for a no-contact cancellation. If you expect to arrive late, call before the booked time and obtain the branch's instructions.

Flight cancellations and bad weather

As soon as you know you cannot arrive, give the branch or booking provider your reservation number, flight number and rental dates. Ask whether to cancel or change the booking and what fee applies. Outside opening hours, use an official contact method and keep a record. Sky specifically asks customers affected by an unavoidable flight cancellation, including a typhoon, to contact its reservation centre. Do not assume that a flight cancellation automatically completes your car-rental cancellation or guarantees a fee waiver.

Refunds and charges for returning early

An early return often involves recalculating the rental charge and deducting an early-termination fee. Obtain approval before bringing the car back early; arriving at the branch does not by itself establish a refund.

Company Early-return calculation and conditions
Toyota Rent a Car Early-termination fee: 50% of the difference between the basic charges for the contracted and actual rental periods
Nippon Rent-A-Car Fee: 50% of the basic-charge difference, capped at ¥6,000. The Recommended Course waives this fee, subject to its conditions. No difference is refunded when the return is less than 24 hours earlier than agreed
Times Car Rental Fee: 50% of the unused-period rental charge, capped by vehicle class at ¥22,000, ¥33,000 or ¥55,000
Orix Rent a Car Normally refunds 50% of the difference between contracted-time and actual-time charges. The Japanese RAP benefit refunds the full eligible difference; actual rentals of 12 hours or less are excluded from that benefit
JR Eki Rent-a-Car Refunds the unused-period difference after a 50% early-termination fee, capped at ¥6,600. No refund if the return is less than 24 hours early
Sky Rent a Car With approval, refunds the unused portion and charges a separate early-termination fee. Some packages and agency coupons have no refund
Nico Nico Rent a Car With approval, its terms calculate the fee as 50% of the basic-charge difference. Its FAQ describes a half refund of unused basic charges and excludes rentals originally booked for 12 hours or less. Agency bookings and the after-hours return service have no unused-period refund under the terms

For Nico Nico, request an itemised calculation: its FAQ mentions both a half refund and a separate fee, while the rental terms set out the 50% formula. Do not deduct 50% twice when estimating your refund. For Orix RAP, the Japanese page recalculates the actual period at the applicable basic rate, including high-season rates, and requires that to be lower than the contracted charge. Its English payment guide states the ordinary 50% refund; confirm whether the RAP benefit is included in your booking.

Nissan's terms provide for an agreed early termination with a refund of the paid rental charge minus the charge for the actual period. No refund is made if the contracted and actual durations differ by less than 24 hours. Ask a Guts branch about its early-return terms when booking.

Frequently asked questions

How many days before pickup do cancellation fees start?

For the ordinary passenger-car rules above, eight companies offer free cancellation through seven days before pickup, then charge from six days before. Guts is free through three days before. Eligible Times Club bookings remain free until 24 hours before pickup, then cost ¥1,100 for a normal booking or ¥550 for Pit-to-Go. Vehicle and booking-channel exceptions still apply.

Where do I cancel a reservation made on another booking site?

Use the site or travel agency that accepted it. That provider's fee rules may apply. Check the cancellation section of the confirmation email before using a rental company's general tariff.

What if I cancel on the same day I made the reservation?

Nippon waives its cancellation fee when you cancel on the day the reservation was made. This is different from a general waiver for cancelling on pickup day. For the other companies, check the deadline relative to pickup and any special conditions attached to the booking.

When will a refund appear on my card?

Acceptance of a cancellation and posting of the card refund are not necessarily simultaneous. Keep the completion record and check the statement according to your card issuer's processing timetable.
